How to Transfer Items: 

Purpose: This job aid covers how to Transfer Items from one Customer to another using Transfer Worksheet.

 

* Note - to create and post Transfer Worksheets, user must have:

    • FSP_AGENCY_ARCOLLECTIONS_PRCSR role to create Transfer Worksheets
    • FSP_AGENCY_ARCOLLECTIONS_APRVR role to approve/post Transfer Worksheets
    • User Preferences setup with Process Group ARTRNWS.

Topic 1: Create a Transfer Worksheet

Step 1: On the Financials homepage, click on the Receivables & Deposits tile.

Step 2: In the left pane, open the Receivables Items folder and click the Transfer Worksheet link to open the Transfer Worksheet page.


Step 3: On the Add New Value tab, enter the Business Unit, and click Add.



Step 4: Enter the Customer ID of the Transfer From Customer and select the Business Unit. Click Build.



Step 5: Enter the Business Unit and Customer ID of the Transfer To Customer. 


Step 6: Select the Item to be transferred and click Save.




Step 7: Click Worksheet Action.



Step 8: Click Create/Review Entries. 



Step 9: Review accounting using the scroll bar. 



Step 10: Once scrolled to the far right, note that the Budget Dt is the current dt. 



Step 11: Click Save and then Return to Previous Panel.



Step 12: Set the Posting Action to “Batch Standard” and Save. Note the Transfer ID.



Step 13: Once ARUPDATE runs (automatically on weekdays at 8am, 12 noon, 4pm, and 7pm.) and Journal Generator runs (automatically between 8pm and 9pm weeknights), review the Customer Item List and Journal Entries created in topics 2 & 3. 


Topic 2: Review Customer Item List

Step 1: On the Financials homepage, click on the Receivables & Deposits tile.


Step 2: In the Receivables Items folder, click the Customer Item List link to open the Customer Item List page.



Step 3: Enter the Transfer To Customer ID and Business Unit. Click Search. Ensure that the Item ID is now in the transfer to Customer Item List.



Step 4: On the Detail 4 tab, note that the Accounting Date is today’s date (not the date of the original item). 



Step 5: Enter the Transfer From Customer ID and Business Unit. Select “Closed” from the Status dropdown. Click Search.


Ensure that the Item is now in “Closed” Status.



Topic 3: View Journal Entries Created

Step 1: On the Financials homepage, click on the Receivables & Deposits tile.


Step 2: In the left pane, open the Accounting folder and click the Create/Update Journal Entries link. Enter criteria to find the Journal Entries created and click Search.



Step 3: Note the new Journal ID and lines generated with today’s date as the Journal Date.
