November 6, 2023 – SF Financials & SF Procurement Upgrade

Expenses
NEW Features
- Identify Duplicate Expense Lines – Displays an error message when an employee saves an Expense entry with possible duplicate expense lines. The employee will be required to justify the duplicate entry to submit, which Approvers can view.
- Multiple Attachments – Allows employees to upload multiple attachments at once during an Expense entry.
- Attach Documents to an Expense Report After Paid – Allows employees to add documents to an Expense Report at any stage in the approval process, including Approved, Staged, or Paid status.
Bug Fixes
- Employees can now cancel Approved and Budget Checked Expense Authorizations without encountering an error message. The Cancel Expense Authorization link is available again under your Employee Links of the SF Employee Portal.
Accounts Payable
NEW Features
- Multiple Attachments in Payable – Allows the selection and upload of one or more attachments in Accounts Payable.
- Add Attachments to Paid Vouchers – Allows the selection and upload of one or more attachments to a paid voucher.
Bug Fixes
- System will no longer invoke an error when users add attachments to paid Withholding vouchers.
- Payment terms now correctly default from Purchase Orders (POs) when creating Self-Service Invoices via copying from a PO or PO Receipt. eSettlement Suppliers will no longer experience inaccurate match exceptions.
General Ledger
NEW Features
- User Login Credentials Retained for an Hour and Length Verification for Reference and Description Fields – Enhanced Spreadsheet Journal Import to retain user login credentials for one hour in between import actions. In addition, the system verifies the length of the Reference and Description fields at the header and line levels.
- Validation for GL Spreadsheet uploader on Journal Entry Sheet Page – Enhanced Spreadsheet Journal Import to validate field length for most fields in the Journal Entry Sheet page including ChartFields. An error message prevents online and offline journal import when the field length exceeds the maximum allowed.

- New Multiple Journal Attachments Page – Multiple Journal Attachments page added, which allows you to load one or more attachments to one or more journals.
- Journals Pending Approval Available in GL Fluid WorkCenter - Enhanced GL Fluid WorkCenter now lists all journals that are pending approval.
- Analysis Type Available in the Pending Approval, Journal Entry Page - Enhanced the Pending Approval, Journal Entry page to display the Analysis Type from the line entry.
Commitment Control
Bug Fixes
- Resolved bug that allowed Budget Journal Processors to incorrectly post Budget Journals and Budget Transfer Journals at the Project Activity summary level without validating the Activity detail.
Asset Management
NEW Features
- New External Funding Source Feature – The External Funding Source Feature available in the Asset General Information Page allows employees to associate an asset with an external funding source. This new feature allows you to identify and closely monitor assets that must meet specific sponsor requirements and internal policies.
- Enhanced Asset Recategorization – Enhanced asset recategorization feature allows updates to the asset reporting profile at the same time you recategorize the asset.
- Central Agency Users Only - Enhanced Project Costing Express Capitalization process includes ranges for transaction date and accounting date allowing project administrators to differentiate cost for capitalization based on when a cost was incurred. Central Agency users can select accounting dates, transaction date, or all dates and the Express Capitalization Process would only include transactions with the date range entered.
- Attach Documents in the Define Asset Page - Attachment capabilities added to the Define Asset page allowing users to attach supporting documents while creating an asset.
- Location and Area ID Fields Available in Create Asset Copies Page - Enhanced Create Asset Copies page contains Location and Area ID fields.
- Enhanced Review Deprecation Component - Enhanced the Review Depreciation component with related content, which enables you to view book or cost history information related to the asset. Related content appears below the transaction page in a split screen format.
Billing
NEW Features
- Improved Navigation Collection - Added new links to the Billing tile navigation collection and organized by business function.

New Billing WorkCenter – New Billing WorkCenter provides managers and operational leads an overview of the scope of their work, with billing pages links to review exceptions, and scan for anomalies. The WorkCenter organizes Billing links by priority, and allows you to send email notifications. You will need to complete a one-time setup of your filters to properly use the features of your Billing WorkCenter.

- Email Notifications from the Billing WorkCenter and Bill Summary Page – Feature provides you the ability to send email send email notifications from the Billing WorkCenter and Bill Summary page.

- Related Actions Available in MyWork – Related Actions available in MyWork makes it easier to take context-sensitive actions.

- Delete Canceled Bills in Billing – New Billing feature allows you to permanently delete canceled bills that do not originate in project costing or contracts.
- Ability to Include Billing Specialist’s Contact Information in Customer’s Invoice – Billing Specialist’s contact information such as User ID and email address can display in customer’s invoice.
- Restart and Track Sent Emails During the BI Publisher Process – Invoice error status displays an error code when the BI Publisher Process cannot send an email. You can restart the process after correcting the error. The system tracks where the process stopped, so the system only sends unsent emails and invoices when you restart the process.
- Run the Billing Interface Process to Run by Business Unit or Multiple Business Units – In addition to running the Biling Interface Process by Interface ID, the enhancement enables you to also run the process by Business Unit or multiple Business Units.
- From Email Address Replaces Original System Email Address – When you send an invoice, the system-generated email will include a From email address in place of the original system address for specific Bill Types or Business Units.
Customer Contracts
NEW Features
- Improved Navigation Collection – Added new links to the Customer Contracts tile navigation collection and organized by business function.

New Manage My Contracts Page – The new Manage My Contracts Page provides you with a centralized location for viewing contracts and Related Actions to process contract billing and revenue recognition. This page allows you to review contract-billing, contract-revenue, contract attributes, and related contract-level information. You must complete a one-time setup before using the new page. This setup involves populating your My Contracts list and saving your Contract Preferences to fully utilize the new features offered on the new page.

- Project ID Prompt in Contracts Includes Project Description – Project Description is now included as a Project ID prompt in Contracts.
Grants
NEW Features
- Improved Navigation Collection – Added new links to the Grants tile navigation collection and organized by business function.
- Ability to Modify End Dates Across Related Documents – Functionality is now available to change and synchronize end dates associated with a Grants Award on Contract Lines, associated Projects and Activities, Grant Award, and Project Team.
Bug Fixes
- Users can now modify end dates for Awards, Contracts and Project through the Modify End Dates page.
Project Costing
NEW Features
- Improved Navigation Collection – Added new links to the Project Costing tile navigation collection and organized by business function.
Bug Fixes
- Resolved a bug that allowed inactivated project costing fields in purchase orders and vouchers, causing journal entry failures in the General Ledger.
Accounts Receivable
NEW Features
- Improved Navigation Collection – Added new links to the Receivables & Deposits tile navigation collection and organized by business function.
Bug Fixes
- Users now have the ability to suppress printing customer statements with zero balance.
